The Vancouver Island Technology Park is looking for an experienced individual to oversee our Collaboration Centre and Operational Health & Safety practices. At the core of VITP’s values is Service – our creation of an integrated social and physical space and our attention to the unique needs of our clients enables their and our success. As an integral member of the VITP team, you will greet all tenants, clients, contractors and guests at VITP, and help them with all their event needs. As a form of gatekeeper your tasks are vast but on a daily basis you will assist our tenant’s guests to sign in and direct them on where to go, book the Conference and Boardroom for internal and external events, assist contactors and sign out keys when necessary and issue access cards to new employees. Lastly, and most importantly you will be first person to greet VITP’s including local tech rock stars, politicians and our industry’s leading entrepreneurs.

The role requires the individual to possess: self-directedness; keen organizational skills; sound judgment and discretion, in order to balance competing priorities. You must be able to work independently and as an integral member of a dynamic team. A summarized list of specific accountabilities below:

The VITP Collaboration Centre Coordinator is accountable for, but not limited to:

Hospitality duties:

  • Serve as the “face of VITP” and positively provide information to tenants, clients, contractors, and guests when approached
  • Possess the best possible customer service skills to interact with tenants, their employees and the public positively, courteously and professionally
  • Day-to-day coordination and direction of all Collaboration Centre and Hospitality services
  • Assist with the marketing and promotion of Conference services to the general public and internal tenants, using a variety of different methods
  • Manage paperwork for each event and manage event software
  • Track expenses and coordinate Collaboration Centre client invoicing
  • Produce communications such as VITP’s monthly newsletters and blog posts
  • Coordinate catering events with onsite Catering Company


Facility Duties:

  • Act as the VITP Health and Safety Designate, taking the lead on creating a proactive approach to risk management and safety at the Park
  • Maintain facility security through utilizing monitoring systems, access cards, permitting building access, and keeping a pulse on everything that is happening during the daytime hours
  • Maintain all daily log books and supporting data bases and reports
  • Develop incident reports, follow-up plans/investigations as necessary and reporting
  • Ensure that all means of egress involved with fire exits are unobstructed at all times
  • Access cards: Issuance including picture taking, cancellation, activation, and accounting of same in relation to monthly billing reconciliations
  • Familiarization with emergency procedures concerning: injury and illness
  • Escort the public, tenants and employees to VITP between buildings and parking lots as requested or required to ensure their safety
  • Liaison with and reporting to alarm companies as required
  • Become familiar with VITP facilities and the security required for each tenant or licensee
  • Remain in contact with the Manager, Business Services on a daily basis and follow instructions regarding ongoing and immediate IT security policies (including access card policies and issuance) and requirements
  • Must have First Aid training, WCB Level 1, or equivalent or better
  • The individual will be required to handle the following:
    • Telephone and mobile phone, including voicemail
    • Must be proficient in MS Office including Microsoft Outlook software
    • Knowledge of business equipment, i.e., computers, copier, fax, printers, et al


Knowledge, Skills and Abilities Required:

  • Excellent communication, administrative, and organizational skills;
  • Read, write, speak and understand the English language
  • Have the necessary public relations skills to deal with employees and customers in a professional, courteous and business-like manner
  • Be able to multi-task and handle multiple event coordination requests and quotes
  • Understand written and oral rules and regulations and apply them in a tactful and non-confrontational manner
  • Maintain poise and self-control under stress
  • Experience in preparing documents, reports and spreadsheets; ability to gather and analyze statistical data and generate reports;
  • Proficiency with applicable Microsoft Office Products, Book King software and operations and maintenance software;
  • Ability to work independently with little or no supervision;
  • Self-starter with initiative and willingness to learn;
  • Ability to maintain current and accurate records; and
  • At a minimum shall possess a diploma in Hospitality or Business Management, and two (2) years working with the public
  • First-Aid certificate
  • We require the candidate to be bonded, insured, fingerprinted and security cleared.
  • Must be willing to achieve a security worker’s license within the first three months of employment
